1. TRIP & BOOKING CONFIRMATION
Your booking is confirmed when Green Valley Nepal Treks & Research Hub sends you a booking confirmation after receiving the required deposit.
Please check your booking confirmation carefully. If you find any incorrect or missing information, please contact us as soon as possible.
2. PAYMENT
- A 10%–20% deposit of the total trip cost is required to confirm your booking. The exact deposit may vary depending on the trip.
- The remaining balance must be paid upon your arrival in Kathmandu, before the trip starts.
- If you prefer to pay the full trip cost before arriving in Nepal, we can provide an online payment link. Please contact us to arrange this payment.
Payment Methods
We prefer payment in cash in any major currency. We also accept major credit/debit cards and bank/wire transfers.
Please note that any bank charges, international transaction fees, or payment processing fees are the responsibility of the client.
3. CANCELLATION & REFUND POLICY
We understand that travel plans can change, so we try to keep our cancellation policy as flexible as possible.
- More than 30 days before departure: Your deposit is fully refundable, or you can transfer it to a new travel date.
- Within 30 days before departure: The deposit is non-refundable and cannot be transferred to another date.
Any refund may be subject to bank or payment processing charges already paid by the company.
4. CUTTING YOUR TRIP SHORT
Sometimes, clients may need to end their trip earlier than planned.
If you decide to cut your trip short for personal reasons, illness, weather-related reasons, flight changes, or any other reason, we cannot provide a refund for unused services or arrangements, including accommodation, transportation, meals, guides, porters, permits, or other trip services.
Your travel insurance may cover trip cancellation or trip curtailment, depending on your insurance policy and the reason for the change. We recommend contacting your insurance company directly if you need to make a claim.
5. PASSPORT & NEPAL VISA
Visitors entering Nepal must have a passport that is valid for at least 6 months from the date of entry into Nepal. Your passport should also have at least one blank page.
Please check your passport validity as soon as you book your trip.
Current Tourist Visa Fees
The following tourist visa fees apply when entering Nepal:
- 15 days: USD 30
- 30 days: USD 50
- 90 days: USD 125
Visa fees are normally paid in cash in major currencies. The immigration office may accept card payments, but we recommend carrying sufficient cash in case card payment is unavailable.
Online Visa Form
We recommend completing the online visa application form before arriving in Nepal.
Please visit the official Nepal Immigration website to complete the form:
After completing the online form, you will receive a submission receipt with a barcode. Please print the receipt and bring it with you when applying for your visa.
The online form is valid for 14 days. If you do not enter Nepal within this period, you may need to complete the form again.
6. TRAVEL INSURANCE
Green Valley Nepal Treks strongly recommends that all clients purchase comprehensive travel insurance before travelling to Nepal.
Your insurance should ideally cover:
- Trip cancellation and curtailment
- Medical treatment and hospitalization
- Emergency evacuation
- Loss, theft, or damage of personal belongings
- Delays and other travel-related problems
We do not recommend or represent any insurance company. However, if you need general information or assistance in understanding what type of coverage you may need, please feel free to contact us by email or WhatsApp.
We strongly recommend contacting your insurance company before leaving your home country and confirming that your policy covers the activities included in your trip.
For trekking, climbing, or high-altitude trips, please make sure your insurance specifically covers the maximum altitude and activities involved in your trip, including emergency helicopter evacuation where required.
7. REFUSAL OR TERMINATION OF SERVICE
We reserve the right to refuse or terminate our services if a client's behavior creates a serious safety, security, or other problem for our staff or other clients.
The following behaviors are not acceptable:
- Fighting or physical violence
- Excessive or dangerous alcohol consumption
- Verbal abuse, threats, or harassment
- Disrespectful behavior toward guides, porters, staff, local people, or other clients
- Behavior that puts yourself or others at serious risk
In serious cases, we may terminate the trip or our services immediately. If our services are terminated because of a client's behavior, no refund will be provided for unused services, and any additional costs caused by the termination will be the client's responsibility.
We ask all clients to respect our staff, local people, local customs, culture, religions, and fellow travelers throughout their trip.
8. PHOTOS & VIDEOS
During your trip, our guides, staff, or photographers may take photos or videos for operational, promotional, or marketing purposes.
By booking a trip with us, you agree that Green Valley Nepal Treks may use these photos and videos on our website, social media, brochures, advertisements, and other promotional materials.
If you do not want us to use your photo or video for promotional purposes, please inform us in writing before or during your trip.
9. ACCEPTANCE OF THESE TERMS
By making a deposit or payment for your trip, you confirm that you have read, understood, and accepted these Terms & Conditions.
